How HR Teams Can Plan an End-to-End Corporate Event in Ireland

Planning a company event can become surprisingly complicated once the brief expands beyond “find an activity”. Venues, catering, transport, timings, suppliers, entertainment, weather plans and internal approvals can quickly turn into a long list of separate conversations.

1. Start with the outcome, not the activity

Before choosing a venue or activity, define what the event needs to achieve. A summer social, graduate onboarding day, leadership session and company-wide celebration need very different formats.

  • Do you need structured learning or development?
  • Is this an employee reward or celebration?
  • Do you need to bring multiple departments together?
  • Is the event part of a conference, away day or wider programme?

2. Lock down the practical brief early

5. Plan the wet-weather version at the same time

For Irish corporate events, the wet-weather plan should not be an afterthought. Decide early whether the event can move indoors, whether the activity can continue in light rain, and what alternative format will be used if conditions change.

This matters especially for large groups because a last-minute indoor switch may require different room layouts, capacities, equipment and staffing.

6. Keep the internal approval process simple

HR teams often need sign-off from finance, leadership, procurement or health and safety. A concise proposal that shows the event objective, format, timings, venue requirements, inclusions and exclusions makes approval easier than a collection of separate supplier emails.
